How To | Create Reports and Dashboards with Q-SYS Reflect App for ServiceNow

Use the following information for creating a reports and dashboards for the Q-SYS Reflect App for ServiceNow:
Overview
Now that you have installed and configured the Q-SYS Reflect App for ServiceNow how do you visualize this data in a user-friendly method? This guide will show an example on how to create a report showing the number of Q-SYS Cores that are offline by site and how to create a dashboard out of multiple reports. There are several possibilities to be able to visualize the data in ServiceNow and this just highlights one example. Your ServiceNow instance and configuration may differ and knowledge of ServiceNow, Reports, and dashboards is required in order to make use of the data in the Q-SYS Reflect App for ServiceNow.

- Completed Installation and Configuration of the Q-SYS Reflect App for ServiceNow in your ServiceNow Tenant.

- At lease (1) Q-SYS core registered to your Q-SYS Reflect instance.
- Completed Installation and Configuration of the Q-SYS Reflect App for ServiceNow in your ServiceNow Tenant.

Setup
In ServiceNow, a Report is a dynamic, visual representation of your data presented in formats such as graphs, lists, or tables, designed to provide insights, track performance, and support data-driven decisions. These are usually shared on dashboards, which can contain multiple reports, or portals for real-time monitoring and analysis across your organization.
Create Report
- Navigate to All > Reports > View/Run.

- You will be greeted with the reports page which will have several tabs on top. You can view any reports you have created as well as other that come with ServiceNow or your ServiceNow admin has created. ServiceNow has multiple different types of report visualizations but for our example we are going to create a report to show how many Q-SYS Cores offline and be able to choose how this is shown either by Site Name, Firmware, or Core Model.
- Lets start by selecting the Create a report button in top right hand corner of the screen.

- We are then going to give the report a name, choose a source type of table, and then choose the table from our Q-SYS Reflect App for ServiceNow.
- Report name: Number of Cores Offline by Site
- Source type: Table
- Table: Cores [x_qsc_q_sys_reflec_cores]
- Select the Next button in the bottom left corner of the screen.

- Next we will choose the visualization type. For our example we will use a Pies and Donuts > Donut to represent Q-SYS Cores Offline by site data points.
- Select the Next button in the bottom left corner of the screen.

- We can then configure how we want to display this data. For our example we want to see how many Q-SYS Cores are offline and filter them by Site by default. We can leave the Aggregation set to Count for the total number of cores and then in the group by field select Site.

- Let now add a filter to only show offline Q-SYS Cores. Click the filter icon and lets set the Condition to only show Status Message is Offline. You can then click the Refresh button in the upper section above Ask another question to preview the report.

- The last thing that would be helpful is for us to list the data in this visualization as a data table below and add a couple other group by options. We can check Display data table option and choose the Additional group by field to add Firmware and Model as other options to group this data by.

- Select the Ok button and select the refresh button and now the report will show the data in a table below as well as there will be a drop down to choose how to show the data.


- The last step is to style this report. Click the Next button at the lower left hand side of the screen. We can now make visual changes to how the report looks and the the Title to better enhance the user experience with viewing this data.
- In our example we are going to display data labels and change the chart title and size.

- We can now save this report using the Save button in the upper right hand corner. We can also now share this report using the Share button in the lower left hand corner to add this report to a dashboard which we will cover in the next section, export it to PDF, share it to a group of users, or schedule it to be emailed to a group of users at a specific date/time.
- There are many other types of reports you can create to visual the Q-SYS Reflect App for ServiceNow data and this is just one example.

Create Dashboard
- Navigate to All > Self-Service > Dashboards.

- In the upper right hand corner of the window select Create a dashboard.

- Give the dashboard a name and select the submit button in the lower left hand corner of the screen.

- On the new screen you will now see a Add Widgets bar and we can choose a variety of included ServiceNow widgets. Choose the Widget Category > Reports and you will see a list of all the reports you have access to or created. We are going to add our report we created in the above steps as well as some others by selecting them the list on the left and then selecting the Add button.


- Repeat these step 4 for all the reports you want to display on screen. You can then click the configuration tab in the upper right hand corner and choose some predefined layouts or resize each window to fit your needs.


- Using the dashboard menu you can refresh all of the data shown as well as get its URL. You can also use the share menu to allow other to access this dashboard and be able to view the data.

- Reports can be used in multiple dashboards and different dashboards can be used for different viewer roles or audiences who need a user friendly method to view the Q-SYS Reflect App for ServiceNow data.
